Purpose of the job
Review, evaluate and process client investment instructions received via the workflow system (FYI) and capture the information as indicated on the client investment instruction on the system and facilitate the authorisation thereof in order to meet the Service Level Agreement (SLA) as prescribed by Absa Investment Management Service (AIMS)
Key Responsibilities
•Review client investment instructions, capture and authorise as per agreed mandate
•Identify, investigate and escalate outstanding requirements or incomplete documentation
•Scan and file all client documentation
•Reconcile clients' investment instructions to Payment File and submit for processing
•Draft and send confirmation letters to client
•Draft non-scripted legal documents for internal and external stakeholders and submit for second review verification
•Process wrap rebalances to re-align portfolio as per client or Advisor's instruction
•Draw bulk processing schedule and determine which runs must be run
•Prepare pre-reports prior to a specific run
•Monitor the run continuously to ensure completion of the run
•Ensure payment of the funds to clients
•Create a debit order rejection .txt file and upload onto the aimsintranet
•Verify the automated debit order rejection process has uploaded reversal transaction
•Investigate, resolve and communicate the outcome of client complaints, commission and payment queries
•Facilitate the resolution of any tax queries
•Investigate, correct and provide feedback as per set agreed turnaround times
•Complete the Reconciliation Fix Form and submit the approved Form for processing.
•Prepare client claim files for submission to Client Services department
•Print the policy documents and distribute to the Advisor, consultant or client
•Forward internal and external correspondence to external stakeholders as per SLA and legislative requirements
